PTA Sponsorship Fund

Objective

To offer financial support, when needed, to students who have been selected to represent the College at a particular event.

Concept

The Principals of the Secondary and Preparatory School are authorised to act on behalf of the PTA to make awards to students in accordance with the objective of the Fund and with due consideration to the budget. The PTA has elected to delegate this power to minimise the risk of a breach of confidentiality that might cause embarrassment or distress to a student or their family.

Mechanism

Applications will be vetted by the Principals early in Terms 2, 3 and 4. College events are generally known well in advance, so it will usually be possible to consider awards in good time for the people concerned.  At times, however, applications may be considered retrospectively.

The Principals will first establish that it is appropriate for the student to attend a given event.  Secondly, they will consider whether there are good grounds for an award to be made.  This decision will be based on the student’s personal circumstances, which shall be kept confidential.  Consideration will also be given to the benefit to the school of the student undertaking the trip.

Budget

This year, the budget is set at $2,000.  This will be reviewed if necessary.

One year’s budget allocation will also be earmarked by the PTA as a contingency to allow for fluctuations from year to year.  This will also allow over-allocation, in the expectation that a proportion of the awards might not be taken up due to circumstances such as illness or a school team failing to reach a required standard.

Reporting and Review

The Principals will report to the PTA concerning the number and value of awards that have been made.  It is anticipated that reports will be made twice per year, at PTA meetings. The PTA will review the operation of the fund following each report.
